Adding Location Tags + Shortcodes

How to add and delete location tags and curate your locations table with Kea AI.

Your Locations table is now a command center. You can tag locations, filter by status or tag, choose how location names are displayed, and give each site a short code that links to the card on mobile for easy portal access on the go.

Everything below is internal to your team. Tags and short names never change what a caller hears.

Add a tag to a location

Tags group locations however your team thinks about them: region, pilot group, ownership, volume, franchise vs. corporate, or anything else.

Add an existing tag

Open the location

Open the Locations table and find the location you want to tag.

Edit the location

Click the location name to open it, then click Edit in the header bar. You can also use the menu on the row.

Find Tags

In the Edit Location panel, scroll to Tags.

Select a tag

Click + Add tag. A searchable list of every tag on the brand appears, with a count showing how many locations already use each one.

Save changes

Check the tag you want, then click Save changes.

The tag appears in the tag bar under that location's row right away.

Create a new tag

Enter a new tag name

Click + Add tag and type the new name into the search box.

Create the tag

Click Create new tag: "your name here".

Pick a color

Pick a color. Grey is preselected so every tag always has one. The full set is Grey, Dark Grey, Purple, Teal, Green, Yellow, Orange, Pink, and Red.

Save the tag and location

Click Create tag, then Save changes on the Edit Location panel.

Tags are shared across the whole brand. Creating a tag on one location makes it available on every location. Removing a tag from one location does not remove it from the others.

Tag several locations at once

Use Bulk Edit at the top right of the Locations table. This button was previously labeled Modify.

Filter the Locations table

Click Filter above the table to narrow the list. The button shows a count of how many filters are active.

Each option shows how many locations match, so you can see the shape of your portfolio before you click.

How the filters combine

  • Tags match any of the tags you select. Checking two tags returns locations carrying either one.

  • Filter groups stack. Selecting Open now plus Ordering: Enabled plus the Pilot tag returns only pilot locations that are currently open and taking orders.

Clearing filters

Active filters appear as chips in the Filtering row under the header. Click the × on a chip to drop that one filter, or Clear all to reset the table. The header count updates as you go, for example "Locations (1 of 6)".

Tag filtering keeps working whether or not the tag bar is visible on each row.

Change what the table displays

Click Display above the table to control how the table looks. Choices are saved per user and per brand, so your view does not affect anyone else's.

A location with no short code loses its second line under Full name + short code. Under Short code only, it shows a clickable -- you can click to go set one.

Tags

Toggle Show tag bar on each row off to get compact rows back. Your tag filters keep working either way.

Reset

Click Reset at the top of the Display panel to return to the defaults.

Set a short name

Long location nicknames are useful in the phone greeting but hard to scan when you are managing dozens of sites. A short name gives each location a code you can read at a glance, like KISSIMM or KIRKMAN.

Short names sit under the nickname in the Locations table and lead the card on mobile.

Edit the location

Open the location and click Edit.

Find the Short Name field

Find the Short Name field, directly under Location Nickname.

Enter or generate a code

Type your code, or click Generate to have one created from the nickname.

Save changes

Click Save changes.

Rules

  • Up to 12 characters.

  • Letters A to Z and numbers 0 to 9.

  • Must be unique within the brand.

  • Optional. Locations without one still work normally.

Rename, recolor, or delete a tag

Tag management now lives with the tags themselves. You no longer need to go to Settings to change a color or clear out a tag you are done with.

Edit any location

Open any location and click Edit.

Open the tag list

Click + Add tag to open the tag list.

Select the tag menu

Hover the tag you want to change and click the ••• next to it.

Edit the tag

In the Edit tag dialog, change the Name, pick a new Color, or both. A live preview shows the result.

Save or delete

Click Save, or click Delete tag to remove it.

To remove a tag from one location without affecting the others, click the × on the tag chip in that location's Tags field, then save.

On mobile

The mobile view was rebuilt around the same controls, so you can move quickly on your phone.

  • Each location is a card led by its short code, with the full name underneath.

  • The Open or Closed badge and the Ordering toggle sit on the card, so you can see and change status without opening the location.

  • Phone number and city/state are on the card.

  • Search, Filter, and Display all work the same as on desktop, including tag filters.

  • Signing in drops you straight onto conversations for today and your seven day projection, with locations a scroll away.

FAQ

Do tags or short names change anything a customer hears?

No. Both are internal organization only. The phone greeting continues to use the location nickname.

Who can see the tags I create?

Anyone with access to the brand. Tags are brand-wide by design so your whole team works from the same labels.

I removed a tag from a location and it is still on others. Is that a bug?

No. Removing a tag from one location only affects that location. Use Delete tag in the Edit tag dialog to remove it everywhere.

Will my Display settings change what my colleagues see?

No. Display choices are saved per user, per brand.

Why does one of my locations show -- where the short code should be?

That location does not have a short name yet. Click the -- to add one, or follow the Set a short name steps above.

How many tags can a location have?

Add as many as are useful. The tag bar on each row shows all of them, and you can hide the bar from the Display panel if rows get tall.
